Job Title: Administrative Assistant

Job Type: Full-Time

Location: Irvine, CA

Salary: $29.00 per hour

Experience Level: Entry-Level (0–2 years)

Position Summary:

Seeking a highly organized and dependable Administrative Assistant to support the property operations leadership team. This role is vital to the daily administrative, customer service, and reporting functions associated with the management of commercial office properties. Ideal candidates will be detail-oriented, professional, and customer service-focused, with the ability to handle a fast-paced environment.

Key Responsibilities:

  • Serve as the initial point of contact for all customer service inquiries; escalate complex matters to senior team members.
  • Answer phones, sort and distribute mail, and manage incoming/outgoing correspondence.
  • Monitor functionality of phone and voicemail systems.
  • Activate/deactivate access cards and order keys; maintain key sign-in/out logs.
  • Ensure the office is maintained in a professional and presentable condition at all times.
  • Manage office/kitchen supply inventory; issue purchase orders as needed.
  • Maintain and distribute daily operations and janitorial logs.
  • Draft and distribute general communications and customer notices.
  • Track and follow up on customer service requests for timely resolution.
  • Provide support with accounts payable/receivable under supervision.
  • Coordinate with vendors and service providers to ensure quality and timely service delivery.
  • Maintain digital and paper filing systems.
  • Coordinate conference center scheduling and usage.
  • Assist with customer move-ins and move-outs.
  • Maintain updated internal directories, spreadsheets, and databases.
  • Review, track, and collect certificates of insurance; ensure compliance records are current.
  • Maintain marketing materials and vacant suite readiness.
  • Support onboarding of new team members, including access, signage, and materials.
  • Assist in planning and executing customer events.
  • Provide general administrative support to operations leadership.

Qualifications:

  • Bachelor’s degree preferred.
  • Professional demeanor with strong business communication skills.
  • Highly organized, self-motivated, and able to manage multiple tasks efficiently.
  • Dependable with consistent attendance and punctuality.
  • Calm and composed in emergency situations.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Strong attention to detail and task prioritization.
  • Demonstrated customer service orientation.
  • Ability to work both independently and as part of a team.

Additional Requirements (may vary by location):

  • Valid driver’s license and proof of vehicle liability insurance may be required.
  • Regular driving may be part of essential job duties based on property location and responsibilities.

Compensation:

  • Base Salary: $29.00 per hour
